Terms & Conditions for Room Setup & Extra Requests

By submitting this form, the guest agrees to the following terms and conditions:

  1. Request Review & Confirmation
    Submitting this form does not guarantee approval or confirmation of the request. All requests are subject to availability, operational feasibility, and management approval. Our team will review your request and send a cost breakdown and payment deadline once approved.
  2. Payment Requirement
    Full payment is required to process the requested setup or extra service. Requests will only be confirmed after payment is received within the given deadline. Failure to complete payment within the specified timeframe will automatically cancel the request.
  3. No Cancellation, No Refund
    All approved and paid room setups and extra services are strictly non-cancellable and non-refundable, regardless of changes in travel plans, early check-out, guest preference, or other personal circumstances.
  4. Supplier & Third-Party Limitations
    Some room setups and extra services rely on third-party suppliers. Management is not liable for delays, changes, or non-fulfillment caused by supplier issues, including but not limited to delivery delays, material shortages, staff unavailability, or unforeseen operational problems on the scheduled delivery or setup date.
  5. Force Majeure & Unforeseen Events
    Management shall not be held liable for failure or delay in fulfilling requests due to circumstances beyond our control, including but not limited to supplier failure, weather conditions, traffic restrictions, power interruptions, government regulations, or acts of God. In such cases, no refunds shall be issued, but reasonable alternatives may be offered at management’s discretion.
  6. Setup Timing & Unit Access
    Room setups and extra services may be completed before check-in or during the stay, depending on operational requirements. Guests agree to allow authorized staff or suppliers access to the unit for setup purposes.
  7. Changes & Last-Minute Requests
    Any modifications after confirmation are subject to approval and may incur additional charges. Same-day or last-minute requests are not guaranteed and may be declined without liability.
  8. Accuracy of Request Details
    Guests are responsible for providing accurate and complete information (dates, times, quantities, layout preferences, and special instructions). Management is not responsible for errors resulting from incomplete or incorrect details submitted by the guest.
  9. Design & Setup Expectations
    Actual room setup may vary slightly from reference images due to availability, unit layout, or safety considerations. Minor variations shall not be considered a service failure and are not grounds for refund or dispute.
  10. Damage, Loss & Additional Charges
    Guests will be held liable for any damage, loss, or excessive cleaning required as a result of the room setup, decorations, or extra services. Additional fees may be charged accordingly.
  11. Right to Refuse or Revoke
    Management reserves the right to decline, modify, or revoke approval of any request that violates house rules, safety standards, building policies, or HOA regulations—even after submission or payment.
